Summer Fest Food
Vendor Information
We are happy to announce that Cedar Creek Market is planning a large summer event scheduled for Friday, May 26th & 27th, 2023 (Memorial Day Weekend) at Cedar Creek Hall/East.
Summer Fest will be from 5 PM to 10 PM on Friday and Saturday from 10 AM to 10 PM. We will be having Food Trucks / Vendors, Beer Garden, Live Music, and Indoor & Outdoor Vendors.
This year's current sponsors for Summer Fest are Cedar Creek Hall, Cedar Creek East, Next To The Salt, Raven & Birch, and Smokin' Willies.

Cedar Creek Market vendors are selected based on:
* Assortment of merchandise / Food
* Great style, displays, & branding
* Friendly personalities
As a vendor applicant, it is important for you to read this packet very carefully.
The application deadline for Summer Fest is Friday, March 31st, 2023. Applications can still be collected up till the event, however, those applied by the deadline will receive first priority.
After receiving your application our committee will review your application, we'll review it as quickly as we can (please allow up to 5 business days) and we'll contact you after checking out your photos, social media, & website (if applicable).
Please Note:
A major part of Cedar Creek Market is a great mix of products/Food. To allow for a broad range, we will limit the number of vendors in each category. Certain categories are often filled very quickly.
If your application is accepted you'll receive an email in regards to acceptance, next steps, and payment for space. Payment will be due within one week (7 days) from the acceptance email to confirm space. If Payment is not submitted within one week, your space may be forfeited to another vendor.
Vendor Booth Spaces
Cedar Creek Market has sole authority over booth placement. There are spaces for Indoor spaces and Outdoor spaces. As stated, booth spaces are filled on a first-come-first-serve basis and submission of payment is.

Vendors must be set up and ready by 15 min till doors open.

Cancellations of booth spaces or no-shows will not be subject to a refund. No-shows will void your business from any future events with Cedar Creek Market.
Note:
Food Vendors are REQUIRED to obtain and submit proof of General liability insurance. Proof of this coverage MUST be emailed to Raven & Birch (info@ravenandbirch.com) by payment submission. Participation as a food vendor at the Summer Fest is not allowed without proof of insurance.
Food Tucks
Cedar Creek Market has sole authority over the Food Truck location. As stated, spaces are filled on a first-come-first-serve basis, and submission of payment.

Vendors must be set up for both days. Single-day setup will not be accepted.

Food Vendors must be set up at least 30 min before doors open.

Cancellations of spaces or no-shows will not be subject to a refund. No-shows will void any future participation in Cedar Creek Market events.
Food Truck Spaces

Booth spaces are 20' x 15'

You must be able to fit your entire tent or trailer (including tongue) in this space or you must buy a second space.

Booths are directly next to each other so there is little wiggle room. If you can’t fit, you will forfeit your space.

Booth tents, signs, tables, condiment tables, cooking equipment, or other items related to Vendor operation must not project past marked booth space.

Food trucks must supply their own power with a power generator(s) with low volume. If power is needed, please make a note on the application form.

Food Truck Spaces are $200 for the two-day event.
Food Pop Up Tents

Booth spaces are 10 x 10 or 20 x 15

Food tent Spaces are $125 for 10X10 and $150 for 20x15 for the two-day event.
Additional Notes
Knox County Health Department
-
Food vendors are required to follow all Knox County Health Department rules.

Food vendors must apply for a temporary food permit through the Knox County Health Department - Click Here

Food vendors will be inspected by the Knox County Health Department. Proper storage, preparation, etc. of cooked items will be strictly enforced. Health Department Guidelines will be included with your confirmation letter. “If you are in violation of the Health Codes, you have to leave and forfeit your funds”.
Clean-up/ Disposal

If you are cooking in your booth space, you will be required to purchase flooring paper to put down on the parking lot where your booth space is located to keep grease off the parking lot.

All grease will be disposed of in designated grease containers at the fest. Anyone seen disposing of grease/grease water down sewage drains will be fined by the city, venue, and Cedar Creek Market and banned from future Cedar Creek Market events.

Trash shall not be piled up at the Vendor tent. Trash removal must be made regularly to the proper containers. Waste and recycling containers will be available and all vendors are responsible for cleaning their own spaces.

Any food tent Vendor must provide their own tent or another shelter to cover their space.
Water

We will provide the Vendor with a portable water source. There is no running water to the booths. Vendors choosing to use this water source must provide an approved food-grade quality bucket to transport water.
City of Galesburg Fire Department:
-
The vendor agrees to comply with all the rules and regulations of the City of Galesburg Fire Department.

Open-flame cooking under a tent is prohibited. All open-flame cooking must be at least five (5) feet away from the tent. Discarded coals shall be soaked and properly disposed of in a charcoal container located on the premises.

No smokers on premises without prior approval. If the smoke is causing a large amount of smoke you will be asked to shut it off.
Vendor Menu:

A completed menu with prices must accompany the application form.

The vendor agrees to sell only those item(s) as provided on the submitted menu. Cedar Creek Market must be contacted of any changes before the fest.

Food Vendors will not be allowed to sell alcohol, Soft Drinks, Or Water. Vendors who focus on smoothies, or specialty coffees will be allowed.
Hours of Operation:

The vendor agrees to comply with the schedules for the operation of its food booth on Friday, May 26th from 5 pm to 9:30 PM and Saturday, May 27th from 10 AM to 9:30 PM.

Vendors may set up their booth / Trucks starting at 11:00 AM on Friday, May 26th.

Take down time for the Vendor area shall be no earlier than 10:00 PM on Saturday, May 27th of starting at 9:00 AM on Sunday, May 28th.

An email will be sent out the week before the fest telling you where to line up to enter the fest for setting up.
Security Violations and Failure to Perform:

The vendor agrees to abide by all security measures set forth by the City of Galesburg, Cedar Creek East, Cedar Creek Hall, and Cedar Creek Market.
